u 11" D t) Pik January 19, 1978 Ukrw 51"^ MEMORANDUM To: Randy West From: Omar Harvey Re: Scheduling Randy, as you plan the schedule for the future there are a couple of additions that I think we should consider making to the material that we submit to Bill for his use. In addition to the sp_qbot of the calendar and actual time for the appointments, the plan should include his time of arrTVa--fin-th—e—ci-ty ihN-iblved, an opportunity for him to have a oluestion and answer session about that particular meeting, the time that he actually departs by car for the meeting, his arrival time and-departure time from the meeting. This is the absolute minimum that should be provided for each meeting regardless of the length or who is to attend. In addition, he should be provided with a standard form that includes the following information. 1. The name of the group that he is to be with; 2. The key contact for that group and its president; 3. The type of meeting, i.e., Young Republicans, Annual TAM, county doctors association, etc. 4. The number of people expected; 5. Other key names in the group, and if possible a one sentence resume on each; 6. A format of the meeting or program, a copy of the program; 7. What is expected of Clements. I would like to discuss this with you personally and effective Friday I would like to set up weekly meetings with the schedule group to review Clements next week schedule. Let's set the meeting for 8:30 a.m. each Friday morning in my office beginning Friday, January 20th. Using yesterday as an example, Clements instructions indicated that he was not to eat with the group, which would have been a horrible mistake, and he was not exactly clear on what he was to do when he got there. The above suggested form, together with a properly prepared schedule presented each Friday to him will put him at ease and make your life much simpler. Omar Harvey OH: bbd
